Receptionist Needed in Port Washington
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for patients and callers, providing exceptional customer service while efficiently managing administrative tasks. This role requires excellent communication skills, proficiency with office management tools, and the ability to handle multiple responsibilities in a fast-paced environment. Prior office experience, including clerical and administrative duties, is highly valued. The successful candidate will contribute to maintaining a welcoming atmosphere and ensuring smooth daily operations.
Duties
- Greet patients and clients in a courteous and professional manner
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendar schedule for the doctor
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Handle correspondence via email, phone, and written communication using Microsoft Office and Google Workspace tools
- Maintain office supplies inventory and coordinate with vendors as needed
- Assist with bookkeeping tasks using QuickBooks or similar software
- Support office management activities including record keeping, filing systems, and document organization
- Provide customer support by addressing inquiries promptly and professionally
- Ensure the reception area remains tidy, welcoming, and organized
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette
- Ability to manage calendars effectively and prioritize tasks efficiently
- Having a positive attitude and a friendly nature
- Knowledge of QuickBooks or bookkeeping experience is a plus
- Exceptional organizational skills with attention to detail and accuracy
- Strong typing skills and proofreading capabilities
- Excellent customer service skills with a friendly demeanor
- Ability to handle multiple responsibilities simultaneously in a professional manner
- Prior experience as a medical receptionist or dental receptionist is advantageous but not required
- Personal assistant experience or office experience is beneficial but not mandatory
